What AI automation is
AI doing real work, inside limits you set.
AI automation connects AI to the processes, systems and data your business already runs on, so it can take on work people currently do by hand. Rules handle what rules handle well, AI takes the steps that need judgement, and people keep the decisions that need their authority.

01 / The definition
A process with AI in it, not an AI tool looking for a process.
A customer service chatbot, a document summariser, a generic copilot: each can be useful, and none of them is the process your people wish ran faster. Automation starts from that process, and almost every useful result comes from redesigning it first. The model becomes one component.
In the processes we design, AI reads what arrives, works out what is being asked, and prepares or takes an action through the systems the process already uses: your CRM, ERP, finance system, service desk or online store.
We design it with the people who run the process today, and say plainly which steps AI handles and which stay with a person. Projects pitched as replacing people tend to fail at adoption.
02 / Rules and reasoning
The same supplier invoice, handled two ways.
A rules-based workflow validates fields, matches purchase orders and enforces approvals, and does it predictably. AI adds what fixed rules find hard: invoices in layouts nobody templated, free-text notes and attachments, and ambiguous cases. The deterministic checks stay in place, and governance decides what happens next. This example is illustrative.
Rules-based workflow
- 01Invoice received in a known format
- 02Extract the fields from the template
- 03Match it to the purchase order
- 04Route for approval by amount
- 05Post to the accounting system
Fast, predictable and easy to audit when invoices match the template. Unfamiliar layouts, free-text notes and partial matches usually fall to a manual queue.
Rules and AI, governed
- 01Invoice received, in whatever layout it arrives
- 02Read it and identify the supplierAI
- 03Check it against the purchase orderGATE
- 04Interpret differences, notes and attachmentsAI
- 05Check it against the approval policyGATE
- 06Ask a person when something does not matchPERSON
- 07Send it for approval where the amount requires itPERSON
- 08Update the systems through controlled APIs
- 09Keep a record of the decisionRECORD
03 / Who does which step
Rules, AI and people, each where it fits.
Each step goes to the executor that suits it, and a proposed action is checked against your policy and source records before anything changes.
- Rules
Where rules work
Fixed checks, matching, calculations and routing by amount. Fast, predictable and easy to audit wherever the logic is settled.
- AI
Where a step needs judgement
Documents in layouts nobody templated, free-text requests and cases that do not fit the pattern. The fixed checks stay in place around it.
- People
Where authority belongs
Decisions that are irreversible, high-value or seen by customers, and anything outside policy. A named person decides, with the work already prepared.
04 / What the AI does
Steps AI can take, and where people stay responsible.
Examples of steps we design, with the authority level each would typically start at. Levels are agreed with you per action and can move as trust is earned.
- Prepare
Service and help desk answers
Drafts answers from your own documents, citing the source, for a person to approve. Routine answers go automatically only in categories you approve.
- Prepare
Ticket and case triage
Reads incoming tickets and cases, routes them, and drafts replies for a person to approve.
- Execute
Document and email intake
Reads invoices, claims and forms in varied layouts, checks them against source records, and posts only those inside an approved value limit.
- Assist
Operational insight
Answers plain-language questions over operational data and flags anomalies worth a look.
- Assist
Knowledge capture
Turns scattered documents and the know-how of a few experienced people into answers everyone can use.
- Prepare
Security and compliance review
Checks configurations and activity against your policies and drafts incident notes for your team.
Assist: AI recommends and a person acts. Prepare: AI prepares and a person approves. Execute: AI acts only within limits approved in advance. Any level can escalate to a named person. How authority is set and enforced.
Common questions
What people ask first.
Is AI always the answer?
No. Plenty of steps are better served by a rules engine, a workflow engine or a plain API call, and those validate data and enforce approvals well. We use AI where a step has to read varied documents, interpret unstructured information or help with an ambiguous case, alongside the deterministic checks, and say so when it does not.
Does every step need a person to approve it?
No. Authority is granted per action. Reversible, low-impact steps can run automatically within limits you approve in advance. Irreversible, high-value or customer-facing steps are prepared for a person to approve. Most processes end up with steps at every level.
