How we automate

One workflow at a time, in the systems you already run.

We choose one workflow, learn its data and exceptions, connect the systems it runs through, and set the authority for each step before anything goes live. Then we pilot it, measure it against a baseline and improve it.

01 / The method

From one workflow to a process you can rely on.

Scope, responsibilities and measures are agreed before work starts, and you decide at each stage whether to continue.

  1. 01

    Select a workflow

One process the team already wants fixed, chosen for value and risk, not because it demos well.

  2. 02

    Understand its data and exceptions

With the people who run it, we map the steps, the records each touches, and the cases that break the pattern.

  3. 03

    Set a baseline

Time per case, cases per person, error rates and cost per correct transaction, measured before anything changes.

  4. 04

    Connect the systems

Controlled connections to the systems involved, with only the permissions each step needs. The systems stay as they are.

  5. 05

Set the authority for each step

Assist, Prepare or Execute, agreed with the process owner, with escalation to a person available from every level.

  6. 06

    Pilot

It runs on real work, with most steps prepared for approval at first, so the team sees what it would have done.

  7. 07

    Measure

Results are compared with the baseline and with criteria agreed in advance, counting the time people spend reviewing.

  8. 08

    Improve

Steps that perform well can move up a level, as a recorded decision. Steps that do not are fixed or handed back.

02 / Authority

Each step gets the authority it has earned.

Authority is decided one action at a time, so one process usually has steps at every level. A named person in your business owns each process.

Assist
AI recommends and a person decides.
Prepare
AI prepares the action and a person approves it.
Execute
AI acts within categories and limits approved in advance.
Escalate
Available from every level. Outside policy, confidence or authority, it stops and asks a person.

The controls that enforce these levels, and the record each action leaves, are set out in how we govern AI.

03 / In your business tools

Automation inside the systems your team uses.

The same method applies whichever systems hold the work. These scenarios are examples of what we design, not descriptions of delivered engagements.

  • Sales, service and operations

    Microsoft Dynamics

Example: Incoming service cases are read, linked to the customer record and given a drafted reply for an agent to approve.

    Our Microsoft Dynamics practice
  • Enquiries and customer records

    CRM

Example: Website and email enquiries are matched to existing contacts, summarised and routed to the right person.

  • Invoices, orders and approvals

    ERP and finance

Example: Supplier invoices in any layout are matched to purchase orders and posted when inside an approved value limit. The rest go to accounts payable.

  • Orders, deliveries and returns

    Ecommerce

Example: Order and delivery questions are answered from the order system. Refunds above a set limit are prepared for a person to approve.

Sensitive steps. Where a step handles data that should not leave your boundary, it can run on Private AI while the rest uses approved commercial models. A private deployment settles where data is processed; the authority on each step still decides what the AI may do with it.

Systems that stand in the way. Where a legacy system cannot be reached safely, we modernise or wrap it first, without rewriting what already works.

Common questions

What technology leaders ask first.

Are you tied to a single model vendor?

No. The model is a component behind a stable interface. Steps can use approved commercial models, private models on infrastructure you control, or both, routed by the class of data involved. Swapping a model is designed not to mean rebuilding the process, and a new model is evaluated against the same criteria before it goes live.

What is the smallest sensible first step?

The AI Workflow Assessment. Two weeks, fixed fee. You get a ranked list of processes worth automating, the authority each step should have, what needs modernising first, and a phased plan, including a list of what should not be automated yet.

The next step

Start with the AI Workflow Assessment.

A fixed-fee assessment, quoted before you commit. You get processes ranked by value and risk, the authority each step needs, what to modernise first, and a list of what not to automate yet.
